Product Registration Database

  • 1.  Product Registration Database

    In order to get a better overview over the worldwide registrations of a company's products I am looking for software that can be used for this purpose. Does anyone know of such tools? Are you simply using Excel lists or a database?
    Any suggestions are appreciated.

    We too could benefit by just such a database! Yep - currently using Excel as the default.

    We are currently using Excel as well but with registrations in over 35 countries for over 200 products is proving quite cumbersome. We are currently looking into a database offered by Liquent. There are others out there as well but all are quite pricy at 150-200K so you definitely would need to look at return on investment.

    I am also interested in registration-tracking software.  I would prefer something that is just a step up from an Excel database, without a lot of extra bells and whistles, especially at a nice price.

    For those of you who are pushing the limits of Excel on this right now, what are some of the capabilities you would most like in dedicated registration software that Excel either doesn't do or doesn't do very well, especially for lots of products registered in lots of different jurisdictions worldwide?

    We have examined many solutions and found that some good systems exist to fill this need for large pharma companies, but for small to mid-size medical device companies there are not a lot of options.  We are currently using a Sharepoint list as opposed to Excel. The Sharepoint list provides benefits such as multiple user access, security settings, version tracking, recycle bin, and better control over data types.

    The Sharepoint list also allows us to run reports using Microsoft Access, since the two programs interface together very easily. The Access reports are preformatted and allow for quick filtering. They can be exported to several file formats including Excel and PDF.

    This is all base functionality and did not take any custom IT solutions or programming, although you will need a corporate Sharepoint installation. Proficiency in access reporting and Sharepoint setup would be beneficial, but it can be self-taught.

    As for the out of the box solutions, the price range varies drastically depending on the number of users you need, but to give you a general idea, we were looking for about 15 licenses. A few systems were in the $30-40K range and some of the large drug product focused systems were about $500k. These prices included software cost, setup/professional services, and recurring license fees. For the more expensive system, it was the professional services which were the biggest driver of cost.

    So there are several ways to manage this. Typical Quality Systems sofware (wholistic in their approach - called Enterprise Quality Management Systems), like EtQ, Siemens, provide software that can be customized for this purpose. There are also out-of-the box solutions, such as Aris Global's Register® and TrackWise (another total quality systems software) that are specific for the purpose of registration tracking. I have provided the links to the solutions below. Please note that there are other Enterprise Quality Systems that can also provide such customized requirements. There are advantages to having someone else maintain the total aspects of compliance, validation, needs, best practices and such that are associated with an out-of-the box solution. This is due to the expertise associated with the software or the process. Out-of-the box solutions can contain the industry's best practices, can be updated due to recent regulatory guidances or changes in the regulations by the vendor and then pushed at a lower cost to the consumer, as it is distributed amongst many customers. Typically, customized solutions are an extra burdon on the internal personnel (IT and professionals), as the regulatory customizations may not be a specialty of the vendor. Thus, the internal resources must maintain and update the general system to meet their needs and again, it becomes more customized and costs are continuously applied as such (not distributed amongst many customers, but specific to the client's needs).

    For a very inexpensive program, Microsoft Access is a database that can be configured to provide the same aspects customized to your needs. You just need someone to know how to program it (set it up), validate it and maintain it.

    Excel spreadsheets are great because they are easy to use, but they are usually unvalidated. I have used such spreadsheets and once they hold large amounts of information, they become unmanageable and unreliable. In the long run, there is no substitute for using a purpose built validated database. Maintaining an unvalidated spreadsheet with unreliable data has potentially negative consequences for a pharma/devices company as such data are crucial and critical for the day to day running of the business. Problems creep in at some point e.g. during regulatory, GCP or pharmacovigilance inspections when an inspector wants to know how the integrity of the data in an Excel spreadsheet is managed.

    Send me an email with your basic requirements and I may be able able to help you as I work with good solutions providers in this area. Even if there isn't an exact solution, there may the scope to tweak it for your requirements.

    Hi all,

    Using excel for tracking products and registration is small piece of the solution in the big puzzle. With recent regulations like EVMPD, future expected regulations like IDMP, HL7 the need to have end to end tracking solution and integrated software is must, which enables regulatory affairs group to be more effective and efficient in their business processes.
